Brandeis University – Statement Processing

Client:
Characterized by academic excellence since its founding in 1948, Brandeis is one of the youngest private research universities, as well as the only nonsectarian Jewish-sponsored universities in the country. The University needed a partner to prepare monthly student statement of accounts.

The Need:
• Find an efficient and cost-effective way to produce monthly student statements and bills

The Challenge:
• Consolidate a process that involved multiple vendors driving up costs and time requirements
• Populate a form with variable data fields to meet the unique needs of the client
• Accept secure data transmissions from the university
• Introduce flexibility in the statement for variable messaging, with the ability to add or changes messages up until the time the statements were run

Solution:
• Wrote test programs for a variety of new formats to ensure data capture and form production met client expectations
• Establish a data transmission protocol with all necessary security requirements
• Wrote programs to introduce variable messaging capability
• Designed a monthly process that encompassed data processing, print and mail

Result:
• Eliminated the client’s need to manage multiple vendors by managing the entire process at one facility
• Reduced turn-around time by implementing a more efficient process
• Saved money on postage through efficient mail piece design and presorting data
